Privacy and cookies

How Shire Oak Scout District uses the information you give us through this website, and the cookies it sets.

Who we are

This website is run by Shire Oak (Leeds) District Scout Council, registered charity 1084927 ("the district", "we"). We are responsible for the personal information you give us through the website.

To contact us about your information, use the form on our About us page or email dlv@shireoakscouts.co.uk

What we collect and why

Enquiry forms. When you send a message (about joining, volunteering, Hunters Greave or anything else) we collect your name, email address, and, if you give them, your phone number, area and message. We use these only to reply to you and to deal with your enquiry, for example to put you in touch with a local group. Our lawful basis is legitimate interests: responding to people who contact us.

Please don't include personal details about young people in a message. A group will ask for anything it needs when you join.

Group finder. If you enter a postcode to find your nearest group, it is sent to postcodes.io, a free UK postcode service, to work out distances. We don't store the postcode you search for.

Joining a group. "Join the waiting list" links take you to Online Scout Manager, which each group uses to manage its waiting list. Online Scout Manager's own privacy notice applies there.

Where your information goes

  • Each message is emailed to the district volunteer who handles that kind of enquiry, using Microsoft 365.

  • A copy is kept in the website's secure admin area, which only district website editors can see.

  • The website and its database are hosted on Microsoft Azure, in Microsoft's European data centres.

We never sell your information or use it for marketing, and we only share it with a Scout group or another part of the Scouts when that's needed to answer your enquiry.

How long we keep it

We keep enquiries for 12 months, then delete them. If you become a member or volunteer, your details are then held under the Scouts' membership privacy notice instead.

Your rights

You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it. Contact us using the details above. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

This website only uses cookies that it needs to work. It doesn't use advertising or tracking cookies, and there is no analytics, so we don't ask for cookie consent.

  • Form security (.AspNetCore.Antiforgery…): stops other websites submitting forms in your name. Deleted when you close your browser.

  • Message sent notice (.AspNetCore.Mvc.CookieTempDataProvider): briefly remembers that your message was sent, so we can show the thank-you message. Deleted straight away.

  • Website editors only: if you log in to edit the website, sign-in cookies keep you logged in.

The site's typeface is loaded from Google Fonts, so your browser connects to Google to download it. Google may see your IP address when this happens. Map links only open Google Maps when you click them.
